Call to Order The meeting was called to order at 4:35pm pm by Chair Joan Weston 2. Adoption of Agenda Resolution #1 Moved by: Dave Beres Seconded by: Courtney Booth THAT the Agenda as amended for the Tillsonburg 150 Ad-Hoc Committee meeting of May 3, 2022, be adopted. Disclosures of Pecuniary Interest and the General Nature Thereof No disclosures of pecuniary interest were declared 5. General Business and Reports 5.1 Update on In Person Meetings The Committee’s Liaison advised the Members that the next committee meeting on May 17, 2022 at 4:30pm will be held in the Council Chambers. This is due to a Resolution passed by Council on April 19, 2022. Accommodations are available should anyone feel unwell or is needing to travel a distance to attend. 5.2 Community Centre July 1, 2022 Discussions regarding utilizing the Community Centre for inclement weather was brought up at last meeting. The Committee’s Liaison was updated by the Director of Recreation, Culture and Parks. It was advised that a report be brought forth to Council in order to have the costs waived for the event i.e. Stat pay for staff, etc. Further discussion will need to be had between Members. Deputy Mayor and Chair will keep the Committee posted. 5.3 Bentley’s The Bentley’s store is still available in the month of June, free of charge. The general consensus was to have the souvenir store open during the month of June. Every Saturday from 10am-4pm for 3x2hour shift. It was decided by Members to have a cash only event. Chair will fill out the necessary paperwork to book the Bentley’s Store. Deputy Mayor will advise if the Seniors Homes have any volunteers Tillsonburg 150 Ad Hoc Committee Minutes, May 3, 2022 Page 3 of 4 available. Rotary Club Members would also like to volunteer their time. Details about volunteers to be discussed at next meeting. 5.4 Souvenirs Images of the souvenirs were provided to the members via the Chair. The Town’s colours we not available. A lighter blue colour was an option and the members all agreed to go ahead with the order. 5.5 Reptile Show The Reptile Show has been booked for the Kid’s Zone event. The time of the event will be 6pm-7pm. 5.6 New Sponsor Savannah Todd from Inovata Food has generously agreed to sponsor the Reptile Show, the T-shirts, and the hotdogs for the event. 5.7 Tillsonburg 150 Events Review & Implementation Committee Members were advised by the Chair that the ad has been added to the newspaper regarding the event. Save the date cards will be added to next week’s paper route. The majority of the storefronts have agreed to add the town plaques to their front store windows. Plaques should be ready by May 16, 2022. The event banner is ready to be erected. A poster for the Time Capsule is in the works to promote the event around the town and to advise the townspeople what they may or may not add to the capsule. There will also be an ad in the paper and the Town’s website. The Town’s Logo will be added to the Time Capsule within a few days. Tillsonburg 150 Ad Hoc Committee Minutes, May 3, 2022 Page 4 of 4 Deputy Mayor Beres has provided the Committee with a Paw Patrol full sized adult costume for the event. Another volunteer will be required to wear the costume. The float parade will need more business to enter. Committee Members will reach out to see if more business would like to enter. The parade is slated to start at 12:30pm. Volunteers will also be needed to help unload and reload the band’s equipment.
